Office Manager

Job reference: VHR/OFMR/2015. Please quote this reference number when discussing this position with us.

Responsibilities:

  • Organise conferences/workshops/trainings/meetings as specified by the project responsible.
  • Collate important data for special business development projects
  • Organise logistics requirements for visiting guests·        
  • Prepare/Enhance Power Point presentations
  • Handle video/telephone conference requirements
  • Co-ordinate approvals of marketing invoices and other documents from the regional office and HQ
  • Database creation and regular update (e.g. visiting cards, cards mailing lists, etc.)
  • Organise flight details, hotel bookings and travel itinerary
  • General filing, sorting of mails and faxes, renewal of subscriptions
  • Prompt reply to customer enquiries
  • Translate documents/articles upon required
  • Create and manage the internal inventory for marketing materials, ensuring that storage, availability and maintenance are strictly monitored
  • Handle reception work, general matter and various legal matters
  • Fix appointments for in-house and local meetings
  • Assist with financial reconciliations with the local distribution partner
  • Keep track of office expenditure, bills, payments and other related matters

Qualifications:

  • Minimum Diploma Certificate, preferably in business studies or similar field
  • At least 5years of PA/Executive Secretarial experience required
  • Experience with an FMCG multi-national company an advantage
  • Very good English and Bahasa Indonesian communication skills (both written and oral) 
  • Ability to create very good self-correspondence with minimal supervision
  • Proficiency in MSOffice (Word, Excel, Power Point)
  • Knowledge in Microsoft Outlook and Internet Browsers
  • Proactive with strong multi-tasking and organisational skills
  • Should be a team player in a multi-cultural environment with very good interpersonal skills
